Deadline: No less than 2 weeks before travel
(COVID-19 Policy Update - Students no longer need to fill out the Travel Registration Form)
"Graduating Students this Year: The deadline to submit travel requests for students graduating this year is April 30th
and the conference dates must fall prior to graduation.”
The Medical Student Research Office (MSRO) provides financial support for students to present their research at medical and scientific conferences. The MSRO provides up to $500, or 50% of eligible expenses if the student's mentor agrees to match this award. Additionally, under specific circumstances, as outlined in the MSRO travel award policy, the mentor's support may be waived. If a student is unable to obtain matching funds from his/her mentor, the mentor should state this in his/her letter of support. In this case, a student still qualifies to receive 50% support for eligible expenses from the MSRO, up to a maximum of $500. Travel Awards are limited to one per academic year (i.e., July 1 - June 30).
For additional financial support, you may contact the Student Council by sending an e-mail to: student.treasurer@mssm.edu
Grant Application Instructions:
Only students who are the first author of an abstract, and who will present their work are eligible for these funds. To apply for this award, please complete the travel request form below and submit it electronically together with the following:
- a copy of the abstract accepted for presentation.
- a letter of acceptance by the conference.
- a mentor's letter of support should indicate that the mentor will match funds provided by the MSRO, and should include the mentor's fund number to which those matching funds will be charged. Under specific circumstances, as outlined in the MSRO travel award policy, the mentor's matching support may be waived. In these circumstances, this should be stated in the letter.
- If your conference coincides with a mandatory course session or part of a clerkship, please follow the guidelines for Year 1 and 2 Attendance and Absence Policy on how to request for time off: Year-1-and-2-Attendance-and-Absence-Policy_EOC.pdf (mssm.edu), and Year 3 and 4 students: Year-3-and-4-Attendance-and-Absence-Policy_EOC.pdf (mssm.edu)
Please note that other than a taxi or required taxes, you will only be reimbursed for the amount and specific expense item requested in advance.
All required documents must be submitted by the student electronically no later than 2 weeks prior to traveling.
Advance Funding:
It is possible for MSRO to advance funding for conference-related expenses such as hotel rooms or airfare. However, the Medical Education/MSRO cannot pay directly for expenses related to conferences other than conference registration fees, if payable by check or wire transfer. This applies to all travel related funding from MSRO and Student Council. If you wish to receive a travel advance, you must contact MSRO at least four weeks in advance: medicalstudentresearch@mssm.edu
To receive advance funding submit your travel request application at least four weeks in advance. On the application form in the comments section, indicate that you’re requesting for an advance and the amount. Please send an e-mail to medicalstudentresearch@mssm.edu within 24 hours of submitting your online travel request form.
Purchases can be made only after you have been approved for funding.
