Room Reservation Form - Annenberg 10 and 11



Before you begin, you need to know:

  • Classroom and computer lab requests can be made up to 3 months in advance. This includes school, residency, and fellowship courses and long-term training series.
    • 10th floor classrooms: Monday to Friday 8am-8pm; closed on weekends.
    • 11th floor computer labs: Monday to Friday 8am-11:50pm; Saturday 10:00am-10:00pm; Sunday 12:00pm – 10:00pm.
  • GME in-service examination requests can be made up to 6 months in advance.
  • New availability dates are released the 1st and 15th of each month.
  • Laptop setups are not available. Users can check out laptops in-person at the library front desk during Circulation Services hours.
  • Requests submitted for classrooms and computer labs will be responded to in 24 business hours. Same day requests must also contact ASCIT via email or in-person after submitting form.

Classroom / Computer Lab Request

The educational mission of the Icahn School of Medicine takes precedence over all other space needs for classroom and meeting rooms in the Levy Library.
All room reservations are subject to cancellation if an academic need arises. 

What's available:

  • Classroom 10-68: 18-seat conference classroom+
  • Classroom 10-70: 18-seat conference classroom+
  • Classroom 10-72: 20-seat lecture classroom*+
  • Classroom 10-74: 20-seat lecture classroom*+
  • Large Computer Lab 11-41: 35-seat computer lab+ 
  • Small Computer Lab 11-40: 15-seat computer lab +

All classrooms and computer labs are equipped with an instructor podium which includes a computer, microphone, polycom conference phone, laptop adaptor(s), and a video display monitor. 

*Rooms 10-74 and 10-72 also include an Echo 360 webcam.

+ Rooms 10-70, 10-72, 10-74, 11-40, 11-41 have a Zoom Room virtual meeting cart or an integrated Zoom meeting system with a camera, microphone, and speakers

If you are not a faculty member, staff, or student, we suggest that you reach out to room-reservations@mssm.edu to see if there are other rooms available to reserve.

Policies:

  • Meetings can be reserved up to 3 months in advance.
  • Rooms are available to reserve 8:00am-8:00pm, Monday to Friday.
  • If a meeting is cancelled or changed, all parties should notify ASCIT either by re-submitting the form and noting the cancellation in the comments section or by calling (212) 241-7091.
  • Reoccurring reservations cannot exceed 3 months. 

All room reservations are subject to cancellation if any of the rooms are needed for medical or graduate course instruction.

  • The educational mission of the Icahn School of Medicine takes precedence over all other space needs for rooms. All room reservations are subject to cancellation if rooms are needed by the ISMMS/GSBS. 
  • Reoccurring reservations cannot exceed one school term.

Computer Lab Policies

  • The Levy Library is a secured floor and only accessible with an active MSHS or ISMMS ID. All attendees must bring their ID in order to access the computer lab.
  • Food is not permitted in the computer labs.

Examination Policies

  • Scheduled board examinations for GME programs can be reserved up to 6 months in advance, no exceptions.
  • In-service resident and/or student examinations that require the use of a secured network and computer, may only be reserved in one of the two computer labs available inside the library.
  • We cannot support examinations in our computer labs that exceed 50 attendees. Reservation requests with more than 50 attendees will be declined.
  • Examinations scheduled outside of library operating hours require a designated person such as the exam proctor to be available to meet with the Library Manager to discuss access options prior to the exam date(s).


NOTICE: If the computer lab is not available on the date and time you requested, your reservation will be declined.

Workstation certification and/or software installations for examinations must be done as far in advance as possible.

Reservation Policies

  • The educational mission of the Icahn School of Medicine takes precedence over all other space needs for classroom and meeting rooms in the Levy Library. All room reservations are subject to cancellation if an academic need arises. 
  • Classrooms and computer labs are available for academic or MSHS-related work, research, and study. Commercial, leisure, or non-Mount Sinai related events are not permitted.
  • Levy Library classrooms and computer labs can be reserved by active students, faculty and staff only. We are not able to reserve rooms to outside organizations.
  • Classrooms on the 10th floor of the Levy Library are available for users to reserve Monday through Friday  from 8:00am - 8:00pm.
  • Computer Labs  on the 11th floor of the Levy Library are available, for users to reserve Monday through Friday  from 8:00am - 11:50pm; Saturday 10:00am - 10:00pm and Sunday from 12:00pm - 10:00pm.*
  • Classrooms and computer labs can be reserved up to 3 months in advance.  
  • GME board examinations can reserved up to 6 months in advance. 

Access to 10th and 11th Floor Spaces

  • A valid MSHS or ISMMS email address is required to reserve a library classroom or computer lab. All attendees need to have an ID to gain access to the 10th or 11th floors.
  • Access to the 10th floor after 6pm is restricted to ISMMS/GSBS students. Graduate School instructors who teach an evening course must request after hours access privileges in order to enter and exit ANBG-10. Contact us at refdesk@mssm.edu to request access.

When you Arrive

  • When you arrive to your space make sure to confirm your reservation on the touch screen kiosk outside of the room, by clicking the “check in” button. 
  • Please note, if the space you reserved sits unoccupied for more than 20 minutes of your reservation,  other members of the MSHS community may use the space during that time period.

Conduct During Your Visit

  • Personal belongings may not be left unattended and the library reserves the right to remove unattended items in all library spaces and bring them to Mount Sinai Security.
  • Users must maintain a study/work environment that does not disturb others in the library. 
  • Anything written on a whiteboard(s) must be erased in preparation for the next reservation. 
  • Unplugging computer terminals, monitors and other related equipment is not permitted.
  • Furniture in any library spaces cannot be reconfigured or removed.  
  • Please help keep the room tidy by picking up papers, pens and other miscellaneous items that may have been left during your reservation.
  • Food is not permitted in any classroom or computer lab. All drinks should be in a covered spill proof container.

COVID-19 Policies

Masking will no longer be required in public and clinical areas of our campuses. This policy applies to faculty, staff, patients, and visitors in all Mount Sinai facilities, with the following exceptions:

  • Masks are still required in inpatient units, clinics, and practices where the majority of patients are immunocompromised, including but not limited to cancer and transplant units.
  • Masks are still required in the neonatal intensive care unit.
  • Masking is still required for anyone with a viral respiratory infection if not isolated.

The safety and comfort of patients and visitors remains our highest priority. Accordingly:

  • Anyone who prefers to mask may do so.
  • We will continue to provide surgical masks to anyone who wants them.
  • Staff members must wear a mask if a patient requests that they do so.
